A2. Initial configuration & login🔗

In brief🔗

Right after activation, PosCaisse asks you to create the first Admin account and, if you wish, to encrypt the database. Then, you log in with your PIN code at each session opening.

For the Admin, once after activation (account creation), then at each daily login.

Step 1 — Create the first Admin account🔗

At the very first launch (when no employee exists yet), the initial configuration screen appears. There you create the administrator account:

  1. Enter the administrator's name.
  2. Set a PIN code (4 to 6 digits) and confirm it.
  3. (Optional but recommended) Enable database encryption by setting a database password (and its confirmation). This password protects all your data; see C7. Advanced settings.
  4. Confirm: the application restarts to apply the configuration (and the encryption, where applicable).

Make a note of the encryption password

If you enable encryption, keep the password in a safe place. Without it, no one can read the database — neither you nor support. That is the price of total confidentiality of your data.

This screen only appears once

Once at least one employee is created, PosCaisse goes directly to the login screen. The following employees are created in C2. Employees.

Step 2 — Log in🔗

At each opening, PosCaisse asks you to identify yourself:

  1. Select your profile from the list of employees.
  2. Enter your PIN code ("Enter your PIN code", 4-6 digits).
  3. You arrive on the sales screen.

Other login methods may be offered depending on the configuration: NFC badge or fingerprint (see C2. Employees).

Accounts used in this guide

The screenshots use demonstration accounts: an Admin profile for configuration and a Cashier profile for daily use. No real PIN code should appear in a guide or a shared screenshot.

Messages & edge cases🔗

  • "Authentication failed": incorrect PIN. Check the entry; if forgotten, another Admin can reset the PIN in C2. Employees.
  • After enabling encryption, a restart is required: this is normal.

Tips🔗

  • Give each employee their own account and their own PIN: this is what allows tracing who does what (sales, refunds) in the audit log.
  • Enable encryption from installation: enabling it later on an already-filled database is possible but the initial installation is the simplest moment.
