From draft to delivery

Purpose: prepare and track a supplier order before stock entry.

  1. Under Supplier items, select a supplier and New order. Check the supplier name and delivery stock location.

  2. Add items searches all purchasable supplier items, not just the previously displayed page. Type part of a name, SKU or supplier reference/barcode. Choose Add for a result and repeat for other items. Already-added items are marked.

  3. Each line shows its name, SKU, stock equivalence and price for the priced quantity. Enter purchase quantities respecting scale, minimum and multiple. Remove line explicitly removes an item; blank or zero quantities prevent saving.

  4. Currency, fees and notes opens options. Currency does not automatically convert prices. Acquisition fees are extras such as freight; leave zero if none. Excl./incl. tax chooses the stock valuation basis, separately from the supplier price.

  5. Check items excluding tax, taxes, fees and total including tax plus fees. Calculations are indicative; terms and permissions are checked again when saving.

  6. Save draft creates the document without adding stock. Open it under Orders to edit or approve. After approval, Send records a declared send but does not automatically email the supplier; use your usual channel.

  7. At delivery, open the approved, sent or partly received order and Receive. Do not create a free receipt for the same delivery. Example: order 10 cartons, validate 8 received, then a second linked receipt of 2 when the rest arrives.

Cancel requires an allowed state and reason. Close ends tracking and requires a reason if incomplete. Do not close quantities still expected. Attach adds evidence.

Order statuses

Statuses: Draft = editable; Approved = purchase approved; Sent = dispatch declared; Partially received = outstanding quantities remain; Received = fully delivered; Cancelled / Closed = tracking ended. Cancelling or closing an order does not remove goods already received: use the receipt document to handle those goods.

Find a document

Reading the lists: Orders shows the number, supplier, date and status; Receipts lists recorded documents. Tap a card to open its details. First page returns to the beginning; Next page loads more results. A disabled page button means no page is available in that direction or loading is in progress.
